- complying with applicable laws, regulations, licence conditions, and lawful requests from public authorities; and
- establishing, exercising or defending legal claims.
8. Basis for Collection, Use and Disclosure
We collect, use and disclose personal data on one or more of the following bases under the PDPA:
- Consent — where you have given us consent, whether expressly or by voluntarily providing your data for an evident purpose.
- Deemed consent — where you voluntarily provide data for a purpose that is reasonably obvious, or where disclosure is reasonably necessary for a contract with you.
- Legitimate interests — where the collection, use or disclosure is in our legitimate interests and the benefit outweighs any adverse effect on you, for example in preventing fraud or securing our systems.
- Legal requirement or exception — where collection, use or disclosure is required or authorised under the PDPA or any other written law.
Where you provide us with personal data about another person — for example a next-of-kin, a reference, or a colleague — you confirm that you have obtained that person's consent for us to collect, use and disclose their data in accordance with this Policy.
9. Disclosure of Personal Data
We may disclose personal data to the following categories of recipients, in each case only to the extent necessary:
- Business clients and host employers — to arrange and manage deployment, site access and site safety.
- Government agencies and regulators — including the Ministry of Manpower, Immigration & Checkpoints Authority, Central Provident Fund Board, Inland Revenue Authority of Singapore and the Workplace Safety and Health Council, where required or authorised.
- Service providers — including payroll and accounting providers, IT and cloud hosting providers, communication platforms, analytics providers, training and certification providers, medical clinics and insurers.
- Professional advisers — lawyers, auditors and consultants bound by duties of confidentiality.
- Banks and financial institutions — for salary disbursement and payment processing.
- Acquirers or successors — in connection with a merger, acquisition or transfer of business.
We require our service providers to protect personal data to a standard comparable to that required under the PDPA, and to use it only for the purposes we specify.
10. Third-Party Services in Our Application and Websites
Our digital properties may use the following third-party services, each of which processes limited data under its own privacy policy:
- Google Play Services and the Google Play Store (application distribution, licensing and integrity checks);
- Google Analytics (aggregated website and application usage statistics);
- Firebase or equivalent services for crash reporting, diagnostics and push notifications, where enabled;
- [ADD ANY OTHER SDK OR SERVICE ACTUALLY USED — e.g. payment gateway, map provider, chat widget].
We recommend that you review the privacy policies of these providers. We do not control how they process data collected directly by them.
11. Transfer of Personal Data Outside Singapore
Personal data may be stored or processed outside Singapore where our service providers operate overseas facilities. Where we transfer personal data outside Singapore, we take reasonable steps to ensure that the recipient is bound by legally enforceable obligations to provide a standard of protection at least comparable to that under the PDPA, including through contractual undertakings.
12. Retention of Personal Data
We retain personal data only for as long as it is necessary to fulfil the purposes for which it was collected, or as required to satisfy legal, regulatory, accounting, tax or reporting obligations, or to establish or defend legal claims.
Certain records — including employment, work pass, payroll, levy and workplace safety records — must be retained for minimum periods prescribed under Singapore law. Once personal data is no longer required for any legal or business purpose, we will delete it or render it anonymous.
13. Protection of Personal Data
We implement reasonable administrative, technical and physical safeguards designed to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. These include access controls on a need-to-know basis, encryption of data in transit, secured servers, confidentiality obligations for staff and vendors, and staff training on data protection.
No method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your personal data, we cannot guarantee absolute security, and any transmission is at your own risk.
14. Your Rights
14.1 Access
You may request information about the personal data we hold about you and how it has been used or disclosed by us in the year before your request. We may charge a reasonable fee for access requests and will inform you of the fee in advance.
14.2 Correction
You may request that we correct any error or omission in your personal data. We will correct the data unless we are satisfied on reasonable grounds that a correction should not be made, and we will send the corrected data to other organisations to which the data was disclosed in the preceding year, unless that is not necessary.
14.3 Withdrawal of consent
You may withdraw your consent to our collection, use or disclosure of your personal data at any time by giving reasonable notice in writing. We will inform you of the likely consequences of withdrawal. Please note that withdrawing consent may mean we can no longer provide certain services to you, and it does not affect our ability to retain or process data where required or authorised by law.
14.4 How to exercise your rights
Please send requests to our Data Protection Officer using the contact details in Section 19. We will respond within the timeframes required under the PDPA. We may need to verify your identity before acting on a request.
15. Account Deletion and Data Deletion Requests
If you hold an account in our mobile application, you may request deletion of your account and associated personal data at any time.
- In the application: go to [Settings > Account > Delete Account] and follow the on-screen steps.
- By email: send a request to contact@iet.com.sg with the subject line "Account Deletion Request", stating your registered name and the mobile number or email linked to your account.
- Online: complete the request form at [https://www.iet.com.sg/account-deletion/].
Upon verification, we will delete your account and associated personal data within [30] days, except for data we are required to retain under applicable law, licence conditions, or for the establishment or defence of legal claims. Data retained for those purposes will be securely stored, access-restricted and deleted at the end of the applicable retention period.
16. Cookies and Similar Technologies
Our websites use cookies and similar technologies to operate the site, remember your preferences, measure traffic and improve performance. Strictly necessary cookies are required for the site to function. Analytics and performance cookies are used to understand how visitors use our site.
You can control or delete cookies through your browser settings. Disabling cookies may affect the functionality of certain parts of our websites.
17. Children and Young Persons
Our websites, mobile application and services are directed at businesses and at working adults. They are not directed at children. We do not knowingly collect personal data from any person under the age of [18] years without the consent of a parent or legal guardian. If you believe we have inadvertently collected such data, please contact us and we will take steps to delete it.
18. Marketing and Do Not Call Provisions
Where you have consented, we may send you marketing communications about our services by email, telephone, SMS, WhatsApp or post. You may opt out at any time by using the unsubscribe link in our emails, replying with "UNSUBSCRIBE", or contacting our Data Protection Officer.
We comply with the Do Not Call ("DNC") provisions of the PDPA. We will not send specified marketing messages to Singapore telephone numbers registered with the DNC Registry unless we have obtained clear and unambiguous consent in evidential form, or another exception under the PDPA applies. Opting out of marketing does not stop service-related or transactional messages that are necessary for our services.
